TITLE: Administrative Assistant
SUMMARY: The Administrative Assistant will provide administrative and staff support to the general organizational operations under the direct supervision of the Staff Director.
This is a part-time position based in Waterville, Maine.

The Organization
KVO is a regional organization of religious congregations, labor union locals, community groups and other voluntary institutions in central Maine. Our mission is to bring people together across lines of religion, gender, political ideology, race and social status to act together on issues of common concern. KVO is a member of the InterValley Project (IVP), a network of seven organizations in all six New England states.
DUTIES AND RESPONSIBILITIES:
Answer office telephone; respond to direct requests for information and/or forward messages to appropriate staff.
Make sure the office is kept in orderly and clean fashion
Assist with review of administrative procedures and development of systems to assure compliance
Perform outgoing meeting reminder calls to leaders within the organization
Maintain master calendar of organizational meetings
General office duties such as typing, bookkeeping, flow of correspondence, filing, requisition of supplies, faxing, etc.
Coordinate materials for meetings, training sessions and other activities of the organization
Maintain and update database as needed
Receive and distribute all incoming mail and coordinates outgoing mail
Lead person in providing support of mailings or coordinating bulk mailing processes
Provide meeting support as needed (e.g., scheduling space, coordinating food, logistics, preparation of materials)
Assist in the updating of the website
Maintenance of office files and filing of new items
Responding to staff requests for administrative support as needed
Perform other duties and responsibilities as requested with a sense of humor and team spirit
QUALIFICATIONS:
Minimum one year office administrative support experience is preferred.
Excellent organizational skills (oral and written) and the ability to excel at details, multi-tasking and working under a deadline.
Must have some experience and skilled in the use of software programs such as MS Word, ACCESS, PowerPoint, Publisher and Excel.
Commitment to the organization’s mission is preferred.
